It seems like we need to plan the next sequence of talks. I have had some inquiries about folks who have filled out the signup form and are waiting to be contacted. What’s the procedure we will follow here? Do we want to make a list of desired invitees and then ask Leslie to follow up with them? Looking for guidance from @rsignell & @clyne.
Lining up more talks was on my TODO list for today. I’ve simply been going down the signup sheet, sorted by oldest request first. I’ve been sending out requests in batches, 3 or 4 people at a time to keep things more manageable. But I see no reason why we couldn’t try to fill up the calendar. I’m open to suggestions on how to improve the process and happy to turn it over to Leslie. It might be a good idea to get a few more talks lined up as I had planned while we continue discussion on what the process should look like.

There are a few that I would like to prioritize. (People I pressured to apply who are now awaiting responses; I have highlighted these in yellow on the form response spreadsheet.) Now that we have a considerable backlog of volunteers, I feel like we should try to be a bit strategic about whom we invite, rather than simply inviting everyone in order of when they filled out the form.
That makes sense to me.

I’ve reached out to the two folks highlighted in yellow and a couple more. I’ll try to get June filled up to give us some breathing room to figure out how we want to do this moving forward. We may want to consider that we had ~dozen people sign up in January, and we might want to clear the backlog before moving on to more recent volunteers .

I am still finding our process a bit confusing, however.
Although we have the next talk listed on the Pangeo Showcase web page, we don’t have any future talks listed on the Speaker Checklist spreadsheet.
And are we using the Speaker Response spreadsheet here still?
Finally, where might I find the list of prospective speakers? I was thinking it might be nice to ask someone from Jupyter2Earth to give an update, but then was wondering whether we might have done that already.
Help @lsmith for any suggestions of how to make this simpler/cleaner/better!
The process is unwieldy. I agree. Too many spreadsheets :-). Perhaps @lsmith has some ideas on how to clean it up.
Regarding upcoming speakers: we have speakers scheduled for 6/9 and 6/16, the latter is not on the Pangeo Showcase calendar yet. We also have a tentative for June 30, that will confirm on Monday. I’m working on filling the gap (6/23). Hopefully then we’ll have some breathing room and can sort out some of the logistics issues.
Hi all! Sorry, I had apparently typed up a long note several days ago that I never hit the button to officially post. I agree that at this point your showcase has reached a critical mass of interest and scheduling that we need to re-work and upgrade your process. All good things! I will work on creating a streamlined process for you all that we can start to implementing hopefully this week and certainly next. I will try to get something out Mon or Tues morning. Would be a good idea for the 4 of us (and any others if that’s helpful) to get together and chat through what I come up with? Or I’ll just work something up and we’ll go with it and tweak as needed?
Something to also start thinking about is curating the showcase. So if you have enough volunteers you can try to lump similar topics together so each month has a theme. Or take the opposite approach and make sure that you are curating such that each week is purposefully different from the next, etc.
Ok I did a deep dive this morning into all of our various google docs and I think the process we have isn’t bad, just needed a little clean up. I think a big thing too is getting that clean/clear break point of when I take over and who is doing what.
The critical master document that we should all be starting from is the Speaker Checklist. Once there, you are linked to any other documents or websites that you need. On this sheet, anything in Green is something you all do, the rest are me. Let me know if this all still looks good.
Since none of these folks know me, I think it is important for one of you to send the initial email to schedule the showcases. CC me on the thread and then once they have agreed to a time slot, they are turned over to me and I will be in contact for reminders, etc and I will CC whoever was initially emailing them as well as the host for that week.
Note in the Speaker Checklist we have folks scheduled almost through July. Could each of you go through it now and sign up for host duties through the end of July in this sheet?
Looks like there are 7 people who still need to be contacted about their talk. Volunteers to invite these folks? Have any of them been contacted that I am not aware of?

- Can someone put me in contact with Eduardo. CC’ing me on a reminder email would be fine. I need him to fill out the Speaker Information form.
- I am in contact with Sam so I should be all set to work with him in the lead up to his showcase
- I am planning on updating the schedule on the Pangeo website. We currently have a lot of TBD’s which we should not put up there. So I can add Sam’s on 6/16 and then is it worth it to build out the table with a bunch of TBD’s until we get to 7/28 with Julia? Or just wait until we get more of these confirmed?
- Just a heads up that I will be updating the link to YouTube on the Pangeo website. The current link doesn’t appear to go anywhere (at least on my end) and I made a new playlist just for Showcase talks that I was going to link to.

Shall we ping the pangeo gitter to see if someone might like to volunteer or do we have other ideas?
It might make sense to have someone associated with pangeo-forge, since the showcase talk topic for tomorrow is about pipelines.

Leslie, I think your overview sounds good.
I propose we pause new invitations for now and take a hiatus for the rest of July / August. I personally will be unable to be involved during that time. In general, a lot of folks will be on vacation. We can use this time to regroup and organize and come back strong in September. What do you all think?
@rabernat phew! That’s great! I also love the idea of taking july and august off and coming back strong.
Sounds good with me. So far in July we have Daniel Gilford tentatively scheduled for 7/7 and David Brochart for 7/28. Do you all want to keep these? Or reach out and reschedule for Sept?
I made a big mistake when I was looking at my calendar. I thought that the meeting was at 12pm today, but it’s actually a 4pm day. I will literally be in my car moving from VT to NYC at that time and can’t do it.

In my capacity as record-button-presser today, I selected the “record to cloud” option, so hopefully that sent the video to a known location. 
I’m fine with a July / August pause. I’d suggest rescheduling our current July speakers for Sept., Oct. Note, that we have speakers on June 16 and June 30 that are still not showing on the Pangeo calendar. Also, I’ve not yet been able to fill June 23, so we may have a gap. Alternatively, I can keep working on a June 23 speaker.
I would favor rescheduling them if possible.
